What is Tendering?

Tendering is the process of submitting an offer for goods or services, typically in response to a formal invitation (ITT) to do so. During the tendering process, prospective suppliers will present their offers to a buyer in an attempt to win the contract for supplying the goods or services. Tendering processes are used to ensure fairness and transparency for both buyers and suppliers.

 

The Tendering Process

  1. Pre-Tendering Preparation

This is the planning and research phase of the tendering process. In this step, companies make sure that they meet the qualifications necessary to tender for the project. 

  1. Bidding Submission

This step involves preparing and submitting a bid in response to the tender notice or invitation. Companies must offer all requested documents and information and ensure they meet all requirements of the tender, such as the specified due date.

  1. Reviewing & Evaluation

After all bids have been received, the procuring authority will assess and evaluate each bid. This is done by comparing and ranking the bids to determine which one offers the best value for money.

  1. Unsuccessful Tenders

After all bids have been evaluated, those that aren’t successful may be informed by the procurer and asked to withdraw. They may also be invited to a debriefing to understand why their bid was unsuccessful. 

  1. Contract Award

The last step in the tendering process is awarding the contract to the successful bidder. This will generally be communicated in writing, alongside the contract signed between the two parties. This contract includes the terms and conditions agreed to by both parties involved in the tender process.
